Travel insurance is a feature you should consider opting into for you next trip. Why? Because you can never be too careful. I know this is a topic that yet again, will make you sigh but I am hoping that this will encourage you to at least see what a potential investment in travel insurance can do for you. Business travel is getting to a point where many are adding it to their yearly, if not monthly, or even weekly schedules and, let’s be honest, when you’re away for business the last thing you want to worry about is an interruption. Baggage and personal possessions, flight, trip cancellation, car rental insurance and travel accident and health, are the basic travel insurance coverage options available. These can be purchased separately, in combination, or as a complete package. Insurance can be purchased by payment or premium by the traveller for certain situations that may arise during travel. You shouldn’t hesitate to do your research because you have the right to know that you can protect your trip investment. 

There are also penalties that come along with cancellations, changes and delays to name a few. Make sure you take the time to read and understand what’s included and ask questions when you don’t understand. Insurance documents can be overwhelming and confusing at times. That’s why providers or travel consultants have different ways for you to reach out in order to get all your questions answered. Checking the bottom or top of insurance documents, websites, or social media pages for contact information is the best way to start. A quick search in your browser also helps provide more details for locations, hours of operation, social media information, etc. Don’t be afraid to join legitimate blogs, forums, or even chat groups if you are thinking about travel insurance and don’t know where to start. There are many options to choose from based on your travel needs. 

Checking in with a medical professional prior to travelling never hurts so you can ensure that you are in tip top shape (or, at least be aware of any concerns) prior to takeoff, this also includes any tours or excursions you might be considering. Also take note of the nearest hospital or medical facility in the area you will be visiting or if medical facilities are on site at the resort or your place of lodging. Having a strong understanding of what medicine is and isn’t permissible in countries that concern your health is vital to your travel plans.   

On a lighter note, this doesn’t mean that you’ll have a bad experience, it helps keep peace of mind throughout your trip. Many insurance companies offer insurance to be purchased up until the day before departure and others, the day the trip is booked. Why not consider your safety first before heading out the door? I’m sitting outside, enjoying the summer and writing this post and I couldn’t help but to think to myself “Is space the next frontier?” From my view, I’m seeing a partially blue sky, some clouds and hearing laughter around me. Everyone is having a dope time but imagine staring out of a glass window while sipping your favorite drink and enjoying the view of earth from space. 

We are making so many shifts towards trying to improve how we interact and communicate on a daily basis and space is clearly no exception. As travellers, we are accustomed to reserving dinner, hotels…you get the point. But soon enough you’ll be able to reserve a spot in space for you and your business partners. Or better yet, you get a call requesting for you to be in space for your next business meeting. Or maybe even interviews? Who knows but one thing I am certain of, this topic will certainly give us something to discuss. It will live rent free in my mind.

Creating lists and folders, printing travel documents, contacting the travel coordinator and keeping up to date with emails or group communications pertaining to the trip are just a few things that can assist with making your journey a little less stressful. Another tip is to write down a list of items you know you need to bring vs. what you want to bring. The following are suggestions that you can use or be able to relate to for your next business trip. 

KEEP AN EYE ON EMAILS

If you have a travel coordinator, don’t be afraid to ask them questions. Not sure what the agenda is? You don’t know if there is a dress code? Dietary restrictions? Itinerary?  These are some of the questions you can think about asking before you leave in order to save time while you are working remotely. Opt-in to any communications pertaining to your business trip and make sure to check your spam/junk folders.  Create a folder to store information about your trip so it makes it easier to access. Keep your ID where you know it’s easy to access when needed. Know where you are staying. I have to stress this part. The format of an address varies from country to country, yes it can be a bit confusing for some but no matter what, be aware of your surroundings and do some research about the area you will be visiting. Being unaware of where you are staying while travelling can delay your trip; not to mention you’ll be late and annoyed.

TRAVEL INSURANCE

Health and safety is a topic we can’t avoid when talking about travel. There are many options and it’s up to you to choose if Travel Insurance is right for you. Many companies provide plans which include, cancellations, luggage, changes, medical, etc. Think of your health and safety along with those you might be travelling with and visiting. There’s a package for pretty much everyone and, let’s be honest, you never know what might happen! Whether you opt-in or have your own travel insurance plan, always remember to keep this in mind when booking your trip. Always have a meeting with a medical professional prior to visiting any locations as well. Health and Safety information is also provided on Tourism or Government websites.

MONEY

Bring your credit/debit card and/or cash. Make sure to check what type of payments the destination you’re travelling to accepts. This includes knowing the exchange rate. Having some cash on you can’t hurt and it’s always best to keep up with the exchange rates.

Many Tourism and government websites offer detailed information on entry requirements as these may differ widely by country or region. Make sure you review your itinerary and have all ID required before you grab those keys.  It doesn’t matter if you prefer physical or digital copies, it’s important to know what type of document you need based on the type of travel or the requirements for your destination. Again, this can vary broadly by country or region. Digital copies are not considered a valid form of ID while traveling across borders. Original copies may be required and it’s your responsibility to have them.

AIRPORT LOUNGES

There’s a little gem called the airport lounge! These are lounges located in some airports where you either have to be a member or pay per use. They are fantastic for when you would like to relax before your flight. Food, beverages and electric outlets or charging stations are normally found in lounges. Some even include showers so you can be fresh for the next flight! Great if you have a long lay over!

BUSINESS CENTER

This is the portion of the hotel that is dedicated for business use only. Using this center can actually help you get some air and will let you to stretch your legs. A change of scenery can really help when you have been in a room for more than a weekend. The next time you travel for work, visit the business center and see if you like it? Sometimes the views are breathtaking.

Being on a business trip doesn’t always mean that it has to be all business! A large selection of hotels and resorts offer activities you might be able to squeeze in during your trip. Take advantage of the on-site gym, wellness spa, garden, non motorized water-sports or make a reservation for the restaurant you’ve been waiting to try. Instead of room service, try sitting by the pool, garden or beach for lunch. You can book a spa treatment or take a stroll around the establishment to see what they have to offer. 

You received the confirmation email for your e-tickets and the itinerary. The countdown begins. The suitcase that you may or may not have put in storage needs to be packed and asap. Traveling is something you’ve done before, so you figure that it can’t be that bad, right? But first, you have to choose between checking in luggage or bringing the small carryon that can fit right above your assigned seat. Of course the size of your luggage is determined by things like the destination, length of stay, items and type of trip but for this piece, I’m going to give you a few tips on how to get the most out of your carry on for short stay business travel. 

Prior to travelling, I spend a decent amount of time ‘mentally packing’. This means that I sit there adding and subtracting what I should bring with me on my upcoming trip. I tend to not pack too early just in case I have to use specific items that are in the suitcase. And from experience, nothing is worse than taking an item out ahead of time and forgetting to place it back in your luggage. 

This is why I came up with a system that can hopefully help you the next time you have to plan for your next business trip. 

Multipurpose clothing

Throughout my many years of travel, I’ve come to realize that you do not need to have a plethora of clothes, shoes and accessories. For the most part, I didn’t end up using most of it. I found it to be a pain, especially when you have a back-to-back schedule. Instead of carrying a number of blazers, pants, dresses, bathing suits, etc., I started to narrow it down by bringing clothing that is interchangeable. For example: a blazer can be paired with a strapless dress or a business casual shirt and pant during the day for meetings and said blazer can be removed, while adding a few light accessories to spice up the look if you’re pressed for time and have a dinner meeting. The same rules can work for shoes. Now, I know there are shoe lovers out there but in reality, if you want to travel lighter, always remember that shoes will take you to the cap weight size for luggage at a faster rate. If need be, make a list of the things you need vs the things you want to carry. Instead of folding, try rolling items into a burrito shape or wear clothing that might not require ironing. This is especially helpful if you are in a rush and you do not have time or access to an iron. 

Accessories and Miscellaneous items

Try to avoid bringing items that hotels offer. Shampoo, conditioner and towels are some of the  items that can be very bulky. By not packing them, you can save space for something that you need. If done right, you can also have enough room to store a sweater or light jacket. This type of packing might not work for everyone but you can always alter it to your liking. It doesn’t hurt to ask what the dress code will be during your trip. This will at least give you a head start and you can narrow down the items that you know won’t be necessary. 

Let’s wrap this up

Reducing clunky/oversized luggage to convenient in-cabin storage can be life changing. It can be a little tricky at first but doing a little research about your trip ahead of time can greatly improve your travel experience and you’ll notice that the weight will literally be lifted. This doesn’t always apply to all types of travel but I can assure you that the Carry-on life has benefited me. This comes in handy when you end up somewhere that has stairs only. Light luggage = less stress on my body. At the end of a long travel day, the last thing anyone is trying to do is pick up 50 plus pounds of luggage. Do you have any stories on how you pack? Why?

Because now you realize that you didn’t take the time out to enjoy your surroundings while you were away.

For many, travel plays a significant role in their business lives. Little do we realize that the more we work for others, the less time we have to dedicate to ourselves. Ask yourself honestly: When was the last time you took the time out to just clear your mind and do nothing? Or, even better, do something for yourself?

At what point do you stop and think: “When was the last time I thought about me?”

Business travel, also known as “corporate travel;” can be a mental and emotional strain for many participants. From one-on-ones to conferences to webinars, it’s clear we take more time out of our day to satisfy others rather than ourselves. Is caring and having responsibilities necessary, they sure are! But, how will you be able to maintain the upkeep if you are skipping basic needs such as: meals, fitness, therapy, activities and, most importantly, sleep.

The following takes into consideration that there are many exceptions when it comes to “leisure time” during a business trip. Time constraints, locations, amenities, etc, can be obstacles when trying to achieve your wellness goals. Here are, in no particular order, suggestions for you to consider the next time you are travelling for business:

1. The activities, gyms and spas are of no use if you don’t make use of them. Take advantage of what they have to offer

Reviewing your itinerary, inclusions and maps of the location can really help when your preference is to rejuvenate. Many resorts have a variety of gyms, spas and wellness centers either on site or in the surrounding area. There are often wellness activities for business retreats, events and meetings available within these locations.

• 2. Feeling refreshed

In order to be at your best, remember that wellness targets not only your physical but your mental as well. How do you expect to meet your friends for dinner, attend that daily video chat or, handle any work responsibilities if you ignore what your body is trying to tell you? Setting a realistic “end of day” for yourself plays an important factor in how you treat yourself in the long term.

• 3. It can turn into a routine without you even realizing it

When you really start to focus on your well being, you’ll eventually set aside time and notice how much better you feel when you take action! Setting a solid schedule might be a little hard at first but as little as 5 minutes a day can go a long way! Now, keep in mind that this pertains to local travel as well. Just because you don’t have to pack luggage to get to and from work, it doesn’t exclude you from this blog. There really is no “end game” to wellness. It’s ongoing and should be a part of who you are.

Consider this the next time you feel flustered and overwhelmed while travelling for business: Sometimes the issue isn’t a lack of available time, but you actually setting aside the time to take care of yourself.
